Our client, a premier marketing agency in Philadelphia, is seeking a highly-motivated, detail-oriented individual to support the Finance department. This person will be responsible for all functions associated with accurate record-keeping in addition to other duties assigned by the Finance Manager.
Accounts Payable Duties:
- Retrieve mail and place in appropriate boxes in mailroom
- Review any invoices and disburse for approval, mailed or emailed
- Monitor AP email box and voicemail box and provide status updates to vendors or employees
- Audit vendor statements
- Enter all vendor invoices into Accounting Software, indicating PO’s where appropriate
- Create new vendors; initiate 1099-MISC processing
- Follow through to ensure clients are invoiced for pass-through costs and provide documentation as required
- Review aging weekly for check processing
- Maintain positive vendor/client relationships
- Check processing and voids, backup for positive pay files with bank
- Maintain electronic batch files for easy retrieval of invoices and other documentation
Account Receivable Duties:
- Production invoicing of clients
- Enter client receipts and post against proper accounts into Accounting Software
- Annotate and discrepancies between client invoices and payments and investigate
- Send monthly statements to clients
- Meet with Account Managers for monthly billing accuracy
Accounting Duties:
- Assist in creating an expense budget; track and maintain all monthly expenses against the budget
- Work with Finance Team on treasury items
- Reconcile and maintain AMEX procedures to ensure proper recording of expenses
- Assist with Media purchase reconciliations
- Provide analytical review of trends
Qualifications and skills:

Education/Experience
- AA in Accounting + 5 years bookkeeping or relevant experience; OR
- BS in Accounting + 3 years relevant experience; OR
- 7+ years relevant experience
